This Privacy Policy and Membership Terms and Conditions explains how information provided to the Chamber may be collected, used, maintained, and shared and establishes certain terms associated with Chamber membership, sponsorships, programs, and services. INFORMATION WE COLLECT The Sanford Chamber of Commerce may collect information voluntarily provided through membership applications, event registrations, sponsorship agreements, website forms, communications, and other Chamber activities. Information collected may include: Individual and business names Business addresses and mailing addresses Email addresses and telephone numbers Business website and social media information Business descriptions and industry information Membership and sponsorship information Event registration information Billing and payment-related information Other information voluntarily provided to the Chamber HOW INFORMATION IS USED Information collected by the Sanford Chamber of Commerce may be used to: Process and administer memberships Manage sponsorships and partnerships Process event registrations and payments Maintain Chamber membership records Communicate Chamber news and announcements Provide information regarding Chamber programs and events Promote member businesses through Chamber directories and marketing Provide networking and business development opportunities Respond to questions and requests Maintain and improve Chamber programs and services MEMBER DIRECTORY AND BUSINESS INFORMATION As a membership organization, certain business information provided by members may be published through the Chamber's online membership directory, website, newsletters, social media, event materials, or other Chamber communications. This may include the member's business name, business contact information, website, business description, logo, and other information intended for public promotion. Members are responsible for ensuring the business information they provide to the Chamber is accurate and current. COMMUNICATIONS By submitting a membership application, registering for a Chamber event, or otherwise providing contact information to the Sanford Chamber of Commerce, individuals and businesses acknowledge that the Chamber may contact them regarding membership, events, programs, Chamber news, account information, and other relevant Chamber opportunities. Recipients may request to discontinue optional marketing communications at any time. INFORMATION SHARING The Sanford Chamber of Commerce does not sell member contact information for unrelated third-party marketing purposes. Information may be shared with service providers or vendors when reasonably necessary to operate Chamber programs, process payments, administer membership, provide technology services, communicate with members, or conduct Chamber business. Information may also be disclosed when required by law or when reasonably necessary to protect the rights, property, or operations of the Sanford Chamber of Commerce. PAYMENT INFORMATION Payments for memberships, sponsorships, event registrations, and other Chamber services may be processed through third-party payment processing providers. The Chamber may maintain transaction and payment records necessary for accounting, financial management, and recordkeeping. MEMBERSHIP AND SPONSORSHIP PAYMENT POLICY All membership dues and sponsorship payments are non-refundable. By submitting a membership application, renewing a membership, entering into a sponsorship commitment, or submitting payment, the applicant or member acknowledges and agrees that membership dues and sponsorship payments made to the Sanford Chamber of Commerce are non-refundable. Membership benefits and sponsorship benefits are provided according to the applicable membership level, partnership agreement, sponsorship agreement, event offering, or other written terms provided by the Chamber. MEMBERSHIP INFORMATION AND RESPONSIBILITY Applicants are responsible for providing accurate and complete information when submitting a membership application. Membership is associated with the business or organization identified on the membership application unless otherwise specified by the Sanford Chamber of Commerce. Members are responsible for notifying the Chamber of changes to their business information and designated representatives. DATA SECURITY The Sanford Chamber of Commerce takes reasonable administrative and operational measures to safeguard information in its possession. However, no electronic transmission, online system, or method of data storage can be guaranteed to be completely secure. THIRD-PARTY SERVICES The Chamber may use third-party platforms and service providers for membership management, payment processing, email communications, event registration, website services, and other operational purposes. Use of those services may also be subject to the privacy policies and terms of the applicable third-party providers. CHANGES TO THIS POLICY The Sanford Chamber of Commerce reserves the right to update or modify this Privacy Policy and Membership Terms and Conditions as Chamber operations, programs, technology, or legal requirements change. When material changes are made, the effective date of this policy may be updated and members or applicants may be required to acknowledge the revised terms. ACKNOWLEDGMENT AND ACCEPTANCE By submitting a membership application, the applicant acknowledges that they have reviewed and agree to the Sanford Chamber of Commerce Privacy Policy and Membership Terms and Conditions. The applicant further acknowledges and agrees that membership dues and sponsorship payments are non-refundable.
